Job Description For Night Auditor
POSITION SUMMARY
The Front Office is the accommodation nerve center of the hotel and the main communication point for guests during their stay. Guests check in and check out at the Front Desk and the Night Auditor will provide a warm and lasting first impression for guests on arrival and departure. Guests can arrange currency exchanges, receive information about the various services on offer both in the hotel and in the city, receive mail and messages, book tours and obtain assistance for all other enquires from the Night Auditor.
CORE WORK ACTIVITIES
Customer Service
- Warmly welcome and check-in guests, taking account of the established standards (choice of suitable room, completion of bookings and entry into the computer, handover of the room pass and the key, safeguarding payment, luggage organisation).
- Check-out of departing guests in accordance with the established standards (drawing up of guests' bills, processing using the computer system) ensuring guests depart with a positive lasting impression of the hotel
- Answer, record and process all guest calls, questions, enquiries or concerns and ensure to follow through for guest satisfactory
- Preparation and processing of any group or crew arrivals and departures.
- Always be available for guests as a point of contact and empowered to appropriately resolve guest complaints, documenting such complaints and / or escalating complaints where required.
- Acceptance and passing on of the wishes of guests to the corresponding departments / persons.
- Assist guests with any query during, after or before their stay.
- Comply with Marriott International cashiering policy and procedures.
Quality - Adhere to Marriott International and hotel procedures, policies, and global brand standards while continuously updating knowledge and maintaining professionalism in all duties.
- Deliver excellent customer service, manage emergencies effectively, and ensure front areas (Reception, Lobby, Forecourt, and Entrance) are clean, safe, and welcoming.
- Follow SOPs and support the performance and efficiency of the department, including handling reservations, phone systems, messages, and concierge services.
- Maintain cleanliness and order in luggage rooms, ensure equipment is safely handled and stored, and secure departmental stores, keys, and cash drawers.
- Manage lost and found procedures, coordinate with Housekeeping, handle guest vehicle parking with care and safety, and secure car keys per hotel policies.
- Participate in shift handovers and team meetings, stay updated via logs and emails, and support supervisors with administrative tasks.
- Follow proper cash handling, billing, currency exchange, and error adjustment protocols, with a clear understanding of financial controls and policies.
Supporting Profitability & Revenue Goals - Assists Finance associates when required to problem solve and resolve guest billing issues.
- Monitors that Guest Service Agents are researching/processing all chargebacks and rebates on a timely basis.
- Administers plans and actions to keep chargebacks and rebates to a minimum.
- Ensures all employees are adhering to proper cash handling procedures and monitors overage/shortages..
General Finance and Accounting - Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.
- Control and secure cash and cash equivalents for property according to cash handling policy and procedures.
- Record, store, and/or analyze information using property software.
- Organize, secure, and maintain all files and records in accordance with document retention and confidentiality policies and procedures.
