Wyndhurst Spa Desk Agents will create a welcoming environment for guests visiting the club. Performing a variety of tasks, such as answering phone calls and questions regarding club services and membership as well as about the resort. Desk agents will speak with a soft voice and display empathy and patience at all times. Desk Agents must master software in relationship to club operations while demonstrating high levels of professionalism at all times, insuring both the confidentiality and comfort of every guest.
Duties and Responsibilities:- Adhere to all policies and procedures as stated in the employee handbook.
- Make sure all service providers are aware of guest needs and requests
- Accurately book and cancel appointments, making recommendations and suggestions
- Utilize spa computers and software with skill and proficiency
- Maintain an accurate bank, balancing after every shift.
- Have full knowledge of all spa treatments, fitness offerings and club operations.
- Answer phones promptly and use the guest's name throughout the phone conversation
- Relay all appointment changes to service providers
- Actively promote all aspects of the property
- Maintain a clean, safe , fully stocked and well organized work area
- Assist in all areas of club operation as requested by management
- Develop ability to work without constant direct supervision and remain at assigned post for extended periods of time
- Report to work on time
- Maintain inventory for office supplies (such as stationary, envelopes, pens, register tape etc.) and inform Club Manager when supplies are needed
- Be available to help guests with miscellaneous requests that go beyond the knowledge of line level staff (if you cannot help with something... find someone that can)
- Make sure all standard operating procedures for open and closing duties are followed
- Attend staff meetings and mandatory trainings.
- Communicate to management any and all occurrences involving staff or guests in the spa and fitness that require attention
- Maintain a positive attitude and contribute toward a pleasant work environment.
Qualifications - Must be available to work evenings and weekends.
- Must be able to respond to individual guest needs and adhere to Miraval standards as written in the employee handbook.
- Must be detail-oriented and have the ability to multitask.
- Must possess excellent communication skills.
- Must have enthusiasm and possess excellent customer service skills
- Must possess basic math
- Must be a team player
- Current CPR/First Aid Certification (will train)
- High School Diploma or GED
- English is required to communicate with guests and management.
- Must possess the ability to represent the Mission of Miraval as in the handbook, verbally and with body language.
- Must speak quietly in a clear, concise, confident manner to guests and employees.
- Ability to understand personal boundaries and confidentiality of guests as stated in the employee handbook.
- Must possess good decision-making ability in regard to guest issues that arise in the moment without management supervision.
