Description
The Sales & Marketing Coordinator supports the sales and marketing teams by managing daily operations for groups, coordinating marketing initiatives and ensuring effective communication between departments.
Main Duties and responsibilities
• Enters and manages individual and group reservations into the operating system as needed by the Hotel Sales team
• Manages group billing, charges deposit, prepares final group bills, set-up guest billing and maintains posting master accounts until completion. Ensure billing accuracy and conducts bill reviews with the clients prior to processing the final bill
• Receives group and event leads, contacts client, details information and provides to appropriate sales manager.
• Assist with group rate requests from revenue team for appropriate sales managers.
• Manage monthly group commissions and coordinate with accounting for processing
• Assist with the preparation of groups, including writing detailed resumes, preparing individual envelopes for VIP groups when needed to ensure the success for the operational team
• Assist the operational team in group check-ins as needed
• Maintains the Dream Nashville Programing Calendar for outlets
• Creates monthly graphics for all outlets and links them to the programing calendar for our PR & Social team to access, update as changes happen and alert social team.
• Assist with new graphic template requests as needed from corporate.
• Assist with monthly photoshoots with Social & PR teams as requested
• In-house menu edits for all outlets
• Works with food & beverage team to help deliver required marketing collateral
• Assist with maintaining and updating the Stateside Kitchen vanity site as needed
• Promotes brainstorming and assists with the marketing "think tank"
• Attends monthly PR and Social brand calls
• Participate in customer site inspections and assists with the sales process as necessary
• Other Miscellaneous task as assigned
Qualifications
Education:High School Diploma required, Bachelor's Degree preferred
Experience:1-2 years administrative support experience, additional hotel front desk experience is preferred
