Job Description For Reservations and Sales Coordinator
Description
The Reservations and Sales Coordinator is responsible for representing Dream South Beach to guests over the phone and through email correspondence in a professional and proficient manner. A full knowledge of hotel accommodations and amenities is vital in order to stimulate the pre-arrival expectations of our guests and create a positive guest impression. The Reservations and Sales Coordinator position requires the Colleague to retain learned technical skills to communicate efficiently, complete reservations and run daily reports.
Position Responsibilities/ Essential Functions
- Represent Dream South Beach by answering phone calls and offering information on accommodations, restaurant and city-wide activities to meet guest needs, wants and expectations.
- Assists callers by selling future room accommodations as well as assisting existing reservation inquiries via phone or email correspondence.
- Ensure accuracy of reservation, recognize guests' needs and requests, and properly communicate requests to appropriate departments.
- Enter group rooming lists, build posting master accounts and ensure group routing is correct
- Maintains strong relationships & communications with Management, Sales, Events, Marketing, Accounting, and Operations teams.
- Promote an understanding of revenue optimization concepts, ideas, and practices implemented by the Director of Revenue & Reservations Manager to better maximize the hotels revenue capabilities.
- Assist the Director of Sales with site inspections when needed
- Utilize training of Opera PMS system to successfully and independently complete reservations in a timely manner.
- Generate and audit daily reservations reports as assigned to ensure reservation completion, accuracy, and preparedness.
- Utilize sales training techniques to provide the best call quality possible to ensure the maximization of revenue and guest service.
- Promptly follows up with guest inquiry leads for second chance room bookings via outbound calling and or email correspondence
- Generates additional guest interest in all hotel amenities and outlets to assist in achieving ancillary revenue goals and enhance guest vacation experience.
- Responsible for striving to achieve monthly ADR, conversion, and revenue goals.
- Maintains a strong familiarity of hotel and the Miami Beach area.
- Remain up-to-date on all hotel offerings, promotions and changes in policies and procedures.
- Maintains thorough knowledge of room rates, packages, discounts that may be available
- Responsible for tracking non-convertible transient calls and reservation denials.
- Performs assigned duties on the daily reservations task list.
- Must be able to effectively, patiently, and professionally handle all internal and external guest situations and resolve guest challenges to guest's satisfaction.
- Maintains a professional demeanor, attitude and appearance and follows The Glam Guide dress code standards.
- Interacts with hotel colleagues in a polite and respectful manner.
- Acts with responsibility towards all company property, supplies and equipment.
- Up-sell whenever possible through positioning the product, utilizing sales techniques & training and gathering personal information to anticipate and cater to guests' needs and help them make an informed decision.
- Strong ability to multi-task when needed as well as efficiency in the operating of multiple computer programs at a given time
- Other duties and responsibilities may be assigned. The employee is expected to work in other areas of the hotel when needed to assist operations to perform job duties not necessarily contained in this job description.
Qualifications - Candidates with strong sales background in non-hospitality related field will be considered.
- Experience with Opera and Reserve preferred.
- Previous use of Microsoft Office with emphasis on Outlook and Excel is required
- Must read, write and speak the English language fluently (knowledge of Spanish is heavily desired)
- Minimum of 1-year related experience and/or training in reservations or hospitality industry.
