Description
Operational
• Carries out any other reasonable duties and responsibilities as assigned. Recruit special interest tutors and promote classes - minimum one class per month
• Maintain records of all Associates wishing to take advantage of the self-study scheme
• Assists the School of Hospitality team to co-ordinate with department heads and tutors regarding suitable course schedules
• Assists Academic Staff to set up Learning venues
• Ensures that School of Hospitality and Learning rooms are well maintained and professionally presented at all times
• Maintains an inventory of Learning equipment and ensure it is kept in good working order
• Monitor outstanding candidates requiring attendance on Hyatt International core Learning courses and advises department heads and tutors as required.
• After completing Hyatt on Skills and Hyatt on Group Learning modules, conducts Hotel Orientation and other Hyatt International core Learning programmes.
• Prepares student materials (handouts, folder, place cards etc.) for Learning
• Issues completion certificates as required
• Support in Trainee's Recruitment, Selection and Ongoing Support by doing the following:
• Ensures acknowledgment/reject letters are sent out 2 weeks from date of receipt.
• Supports the scheduling of interviews for candidates.
• Prepares letters of offer
• Maintains an updated list of applicants and applicant files.
• Ensures that all documentation relating to successful or unsuccessful candidates is processed professionally and in a timely fashion (within 7 days).
• Ensures that Job Descriptions, Letter of Appointment, Task Lists and Associate details are correctly administered and recorded in Associate's personal files.
• Ensures reference checks are completed and recorded before the final decision to offer the job is made.
• Schedule monthly trainee's meeting
• Arranges uniform fitting, medical check, locker assignment and explains grooming standards for all new trainees
• Advises department heads of trainee start dates
• Prepares reference letters after completion of Learning period
• Prepares requisition for Finance department
• Liaise with departments regarding trainee's attendance and prepares monthly trainee payroll report for Finance department
People
• Encourages Associates to be creative and innovative, challenging and recognising them for their contribution to the success of the operation.
• Supports the implementation of People Brand, demonstrating and reinforcing Hyatt's Values and Culture Characteristics.
• Ensures that all Associates have a complete understanding of and adhere to Associate rules and regulations.
• Ensures that Associates follow all hotel, company and local rules, policies and regulations relating to fire and hazard safety, and security.
• Supports the development of supervisory and management personnel in the hotel, through the implementation of effective management Learning programmes.
• Assists to motivate and lead a team of Departmental Trainers, building rapport, monitoring activities and rewarding performance and activities.
Administration
• Assists in the preparation of the Learning Departmental Operations Manual.
• Administrates all Associate Learning records, ensuring that they are kept up to date.
• Assist to administrate, coordinates and monitors the "Learning for your future" programme.
• Responsible for the timely completion and submittal of Learning records and reports.
• Assists in the administration of claims for Learning activities
Customer Service
• Supports the hotel's focus on service excellence by Learning and assisting others to train people to provide exceptional service to the hotel's external customers (guests).
• Provides the appropriate level of professional, courteous and caring service to other Associates (internal customers) and other visitors to the division.
Financial
• Assists with the preparation and monitoring of the Learning Budget, in close cooperation with the Human Resources team ensuring targets are met and costs are effectively controlled.
• Ensures that all hotel, company and local rules, policies and regulations relating to financial record keeping, money handling and licensing are adhered to, including the timely and accurate reporting of financial information.
Marketing
• Assists the Learning Manager with the compilation and implementation of all Associate communications.
• Ensures that all in-house rules and regulations are communicated to Associates and implemented.
• Markets the need for Learning programmes to others, identifying and communicating the value of Learning, exhibiting how Learning affects the bottom line.
• Markets the Learning function by regularly communicating the outcome of Learning initiatives.
Other duties
• Attends and contributes to all Learning sessions and meetings as required.
• Is knowledgeable in statutory legislation in Associate and industrial relations.
• Exercises responsible management and behaviour at all times and positively representing the hotel management team and Hyatt International.
• Maintains strong, professional relationship with the relevant representatives from competitor hotels, business partners and other organisations.
• Reads the hotel's Associate Handbook and have an understanding of and adhere to the hotel's rules and regulations and in particular, the policies and procedures relating to fire, hygiene, health and safety.
• Ensures high standards of personal presentation and grooming.
• Responds to changes in the Human Resources function as dictated by the industry, company and hotel.
Qualifications
• Minimum 2+ years of experience in similar position.
• Ideally with a relevant degree.
• Excellent problem solving and interpersonal skills.
