The responsibilities of the Food and Beverage Administrative Assistant include, however are not limited to:
- Administrative Support:
- Manage payroll for F&B department.
- Maintain and manage schedules for food and beverage staff, including coordinating shifts and covering gaps.
- Handle day-to-day administrative tasks including answering phones, scheduling meetings, and preparing internal communications.
- Prepare and manage reports, including but not limited to inventory reports, ordering sheets, and monthly performance reports.
- Coordinate and prepare documentation for meetings, including agendas and minutes.
- Update and maintain the sharedrive
- Enter all concerns into HOTSOS and follow up with any pending guest issues.
- Inventory & Order Management:
- Assist in tracking inventory levels for food, beverages, and supplies, and ensure proper documentation is kept.
- Place orders with suppliers as needed and assist in the organization of deliveries.
- Work closely with the F&B Manager to ensure inventory is always stocked, organized, and ready for use.
- Submit purchasing requisitions as needed for outlets
- Guest Services and Communication:
- Coordinate special requests for VIP guests, ensuring the Food & Beverage team is informed and prepared.
- Assist with guest feedback and ensure prompt follow-up when needed, ensuring that guests' needs are met in a timely and professional manner.
- Handle guest complaints or special requests in collaboration with other departments.
- Reply to any F&B alerts in Medallia and communicate feedback with outlet managers.
- Event Support:
- Provide administrative support for events and private functions, including menu planning, guest lists, seating arrangements, and timelines.
- Assist in coordinating staff assignments during events and ensure smooth operation during service.
- Documentation & Compliance:
- Ensure that all health, safety, and hygiene regulations are adhered to within the Food & Beverage department. This includes maintaining records for certifications, including Food Handler's and Responsible Beverage Service
- Assist in maintaining accurate records for food and beverage expenditures and budgets.
- Manage monthly Safety training and keep records of completion
- Team Coordination & Communication:
- Serve as a liaison between the Food & Beverage team and other departments of the resort.
- Help to streamline communication between servers, kitchen staff, and management.
- Assist in onboarding and training of new staff members, ensuring they are informed of departmental policies and procedures.
- Communicate resort updates, news and coordinate actions
The Hourly Range for this position is $24 - $26. This is the pay range for this position at Alila Ventana Big Sur reasonably expects to pay. Decisions regarding individual salaries will be based on a number of factors including experience, and education.

Qualifications - Flexibility with work schedule including mornings, evenings, holidays and weekends
- Minimum of 2 years' experience in an administrative role, preferably within a food and beverage, hospitality, or luxury setting.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook), and experience with restaurant management software (POS systems, scheduling, etc.) is a plus.
- Excellent verbal and written communication skills, with a keen attention to detail.
- Ability to communicate effectively with a diverse team and high-profile guests.
- Strong customer service orientation with the ability to handle sensitive situations professionally.
- A positive, can-do attitude with a proactive approach to problem-solving.
- Highly organized with a passion for the food and beverage industry.
- Ability to work in a fast-paced environment and adapt to changing needs and priorities.
Physical Requirements:
- Ability to work in a fast-paced environment, standing or walking for extended periods.
- Ability to lift and carry items weighing up to 25 pounds as required.
