Who You Are

Responsibilities:
• Send introductory emails to clients, providing initial information and outlining key steps in the planning process with a heavy focus on Together by Hyatt pillars and tools to use
• Manage and regularly update the group rooming list to ensure accuracy and clear communication.
• Process reservation changes as requested by clients, ensuring the updates are reflected in the system.
• Set up and share web links for group bookings, ensuring easy access for clients to book their rooms.
• Send reminder emails to clients ahead of critical deadlines such as group cut-offs, payment deadlines, etc.
• Manage Group Block in Opera (property management system) to ensure availability and accuracy.
• Draft, review, and finalize group resumes to ensure they meet client specifications and hotel requirements.
• Attend weekly OPS (Operations) meetings to provide updates and receive relevant information for client bookings.
• Create group focused welcome letters for each group
• Coordinate site visits for clients with site inspection form to include photo, ensuring all logistics are arranged and communicated with the entire hotel team; Space walked and confirm all hotel elements are ready prior to arrival
• Detail all VIP arrivals, ensure blocked, rooms inspected and amenities as necessary
• Send out know before you go arrival emails and post stay emails and respond to emails to address customer specific needs
• Daily Management of HotSoS and ECC app
• Updating all guest facing marketing and revenue generation channels:Hyatt.com, CVENT, Wedding Pro, Sonifi, FourWinds, Hyatt Personalization Engine, Siggi, Digital Compendium, HQ Plaza App, Elevator Marketing
• Social Media posts in conjunction with Tambourine, on main channels, Twitter, Instagram, Facebook and Linkedin
• Ice Portal photos up to date and running on OTA sites appropriately.
• Manage all OTA listings to ensure content accuracy
• Create and maintain all guest facing assets to ensure brand standards: Include all property communication: Newsletters, Arrival Letters, Amenity Cards, Capacity Charts, Fact Sheets, Email Signatures, Walking Maps, Local Marketing Ads
• Assist with in house photoshoots for social media, Hyatt.com and True Tour
• Contribute to various projects as required, collaborating with different departments as needed.
• Other duties and responsibilities may be assigned
