The Role
This Administrative Assistant role will support a new and revitalized Americas Development team responsible for producing franchise and management agreements and opening new Hyatt hotels.
In addition to managing a wide variety of administrative responsibilities, this role will support Development leaders in creating an efficient, supportive, and dynamic working environment for a fast-moving hybrid team. This means not only smooth execution of administrative and organizational tasks, but also continuous introduction and improvement of processes that unlock team productivity.
This position is based at the Chicago Hub with at least 3 in office days per week.
Responsibilities include:
•Arrangement of flight, hotel, and other travel for senior members of Development organization and monitoring of travel in progress
•Coordination of expense collection and submission for senior members of Development organization
•Scheduling and planning for various team virtual meetings, in-person meetings, owner meetings, and conference activities
•Calendar management for senior members of the Development organization and administration of Outlook and Teams shared calendar resources for the broader team
•Vendor set-up and organization of work contracts, processing of invoices, and broad support for maintaining vendor relationships
•Maintenance of organizational charts, team rosters, seating charts, contact lists, and productivity tools rosters
•Supervision of the Americas Development work area in our Chicago hub, including handling mail and packages, as well as supporting ongoing maintenance of our SharePoint virtual workspace
•Coordination of scheduling, planning, and execution of activities and processes across other teams within and beyond Hyatt's Growth organization
•Other duties as needed
Qualifications
Experience Required:
• 5+ years experience as Administrative Assistant or Coordinator in hospitality, travel, or franchising
• Proven ability to work independently on special projects
• Command of MS Office suite including Word, Excel, PowerPoint, and Outlook
• Ability to travel nationally 2-3 times per year
Experience Preferred:
• Bachelor's degree
• Previous experience supporting hotel sales or business development vastly preferred
• Experience in customer or owner facing administrative roles
• Familiarity with MS SharePoint and MS Teams
