Job Description
As Executive Assistant to the COO, you will play a crucial role in supporting executive-level functions, providing essential administrative and organizational support
Here is a snapshot of some of the responsibilities you will hold:
- Act as a recognised reference point of entry for the organisation
- Support the COO in maintaining an up-to-date, accurate set of organisational data, including organizational charts, team files
- Support to Operations leadership team (annual performance review, overall coordination, onboarding, annual leave)
- Join important meetings to take minutes and proactively organise follow up on action points
- Coordinate monthly townhalls, including agenda, content and support creation
- Coordinate, plan, and organise small-to large-scale meetings with direct reports, full Operations team or external parties
- Draft and review memos to be communicated to the wider ENA region
- Contribute to the excellent reputation of the COOs office through professional, friendly and respectful interactions internally and externally
- Responsible for scheduling and managing the COO's diary, including prioritizing and resolving conflicts and competing demands, proactively scheduling important meetings with internal and external parties
- Organise and coordinate travel and related requirements (travel authorizations, flight tickets, hotel bookings, visas, airport transfers, expense reports)
- Undertake special assignments/projects on a wide variety of issues as requested by the COO
- Additional upcoming responsibilities of Russia, CIS and Morocco
Qualifications
- Highly experienced EA who has previously supported at C Level
- Previous experience of working amongst a large international and matrixed audience
- Additional languages such as French/German/Spanish are highly desirable
- Strong organisational and time management skills
- Managing and elevating positive relationships with hotel owners and third parties
- Highly proficient in using all Microsoft Office applications, including (but not limited to) preparing Powerpoint presentations etc
- Previous experience of working in hospitality, travel or retail is desirable
- Impeccable attention to detail
- Highly organized / personable
- Problem solver
- Excellent communication skills and stakeholder management
